Global ITAM: How Companies Manage IT Assets Across Borders
Global ITAM keeps procurement, onboarding, and offboarding running worldwide. See the real numbers, the rules, and what actually works.

IT processes that work for 50 people usually break at 100, especially across several countries.
Start with a full asset audit, then standardize hardware by role.
Turn onboarding into a workflow that HR triggers, so devices ship before day one.
Plan local logistics, security and offboarding country by country.
Decide early whether to build all of this in-house or work with a global ITAM partner.
Growing your team is the goal. Every new hire still needs a laptop, accounts, security settings and support, in their own country, on their first day.
When your headcount doubles, the spreadsheet and the "someone in IT handles it" approach stop working. This guide covers what breaks, what to fix first and how to scale IT operations without slowing down hiring.
IT work doesn't grow in a straight line with headcount. Each new country brings new suppliers, customs rules, tax requirements and support time zones.
Many companies already have weak spots before they start growing. In a Nintex survey of 1,000 US employees, 62% said at least one IT process doesn't work well at their company. 43% pointed to equipment onboarding for new hires. When you double the number of hires, those problems double too.
| Area | At 50 people | At 100+ people in 10+ countries |
|---|---|---|
| Device purchasing | Ordered one by one | Needs set models, suppliers and pricing |
| Shipping | Local courier | Customs, import duties, VAT, local carriers |
| Onboarding | Manual setup by one IT person | Needs an automated, repeatable workflow |
| Support | Slack message to IT | Multiple time zones and languages |
| Offboarding Security | Laptop dropped at the office | Remote returns across borders |
| Security | Basic passwords | MDM, encryption, remote lock, compliance |

Don't order a single new device until you know what you already own.
List every device, who has it, where it is, its age and its warranty status. Keep it in one system, not in several spreadsheets owned by different teams. That list is what every later decision depends on.
Look for devices assigned to people who have left. According to Capterra's Employee Offboarding Survey, 71% of HR workers said departing employees failed to return company equipment. The average loss was about $1,963 per incident, and 59% of those devices held sensitive company data. Remote and hybrid employees were 17% more likely to keep equipment. Getting those devices back and redeploying them can cover part of your next hiring wave.
Letting every manager pick a laptop creates dozens of models to buy, set up and support. Pick a small set of kits instead.
| Role | Suggested kit | Why |
|---|---|---|
| Sales and customer success | Lightweight laptop, headset, webcam | Mobility and frequent calls |
| Engineering | High-performance laptop, external monitor | Heavy workloads and multitasking |
| Design and creative | High-spec laptop with color-accurate display | Graphics and video work |
| Operations and admin | Mid-range laptop, headset | Reliable and cost efficient |
Standard kits make pricing easier to negotiate, speed up setup and simplify support. For help choosing models, see our guide to the best corporate laptops for remote teams.

The first week sets the tone. Brandon Hall Group research found that organizations with strong onboarding improve retention by 82% and productivity by 70%. A new hire waiting for a laptop is not a strong start.
Connect your HR system to your IT process. When an offer is signed, a device order should start automatically, with no email chains or manual tickets.
Set a clear deadline, such as the device arriving at least three days before the start date. Pre-configure devices with apps, accounts and security settings so the employee can log in and start working.
Tecspal's average delivery time is 3.5 days. See how LoopStudio uses Tecspal to run remote onboarding for its distributed team.
Shipping a laptop across a border is where most global IT plans stall. Each country has its own rules for:
Import duties and VAT
Customs paperwork and who acts as importer of record
Local warranty coverage
Keyboard layouts and power adapters
Delivery times and reliable carriers
The fastest option is usually to buy locally or use in-country stock instead of shipping from headquarters. For a real example of these blind spots, read our article on Australian companies hiring in India.

More devices in more countries means more ways in. The IBM Cost of a Data Breach Report 2025 puts the global average breach cost at $4.44 million and the US average at a record $10.22 million. Breaches took an average of 241 days to identify and contain.
The same report found that organizations with high levels of shadow AI (unapproved AI tools) paid about $670,000 more per breach. A bigger team means more unapproved tools unless you set clear policies.
Your security baseline for every device should include:
Mobile device management (MDM) enrolled before shipping
Full-disk encryption turned on by default
Remote lock and wipe for lost or unreturned devices
Approved software list that includes AI tools
Access tied to HR status so accounts close when someone leaves
Offboarding gets more complex as you grow. Capterra found that only 55% of organizations fully locked former employees out of their systems. The rest could only partially restrict access.
Build a process that covers:
Account shutdown on the employee's last day
Device collection with prepaid return kits in every country
Certified data wiping before reuse or resale
Redeploy, resell or recycle based on device age and condition
Certified wiping matters for compliance. Learn more in our guide to Blancco certification. For older devices, a buyback program turns hardware back into budget. Here's how to maximize your IT buyback return before value drops.

At some point you have to decide who runs all of this.
| Factor | In-house IT | Global ITAM partner |
|---|---|---|
| Setup time | Months per new country | Available right away |
| Local suppliers and logistics | You build each relationship | Already in place |
| Cost | Headcount plus vendor contracts | Pay per device or service |
| Visibility | Depends on your tools | Central dashboard included |
| Offboarding and recovery | Manual and slow | Global return and buyback network |
If you're hiring in a few new countries each year, a partner usually costs less than building local operations from scratch.
Full asset inventory in one system
Unreturned devices recovered or written off
Standard hardware kits defined by role
HR system triggers device orders automatically
Devices arrive before the start date
Local logistics mapped for every hiring country
MDM, encryption and remote wipe on every device
Offboarding process with certified data wiping
Plan for redeploying, reselling or recycling old hardware
